Pay rate/range: Hiring/Budgeted Salary: The budgeted salary range that the University reasonably expects to pay for this position is $77,000.00/yr - $79,000.00/yr. Full Salary Range: The full salary range for this position is $77,000.00/yr-$82,000.00/yr. Salary offers are determined based on final candidate qualifications and experience; the budget for the position; and the application of fair, equitable, and consistent pay practices at the University.

Department Marketing Statement

Brief Summary of Job Duties

Under the direction of the Associate Director of Dining Catering/Concessions, the Catering Manager is responsible for the organization and financial performance of the Catering division of Campus Dining. Manages the daily operations of the Catering unit which provides all campus catering services for on-campus special events, summer conference catering, and housing departmental catering. Interacts with customers by following-up with contracts and services agreements. Ensures and provides the highest level of service and quality for the campus community, conferees, executives, and all other customers. Provides team leadership and oversight for a complex catering program that generates $2,000,000 annually from both on and off-campus events. Manages all aspects of the sales and management of catering events. Scope of responsibilities encompass supervision of managerial, career and student staff in event planning, event execution and decor. Implements health & safety standards, policies, and permits established by University and the County Health Services.

Required Qualifications

Education:
  • Bachelor's Degree - A degree in hospitality/restaurant management or at least 5 years of progressive experience in catering, hotel/restaurant management or an equivalent combination of education and experience

Work Experience:
  • 4-6 Years - Previous catering and event management experience, including menu development and food cost, staff scheduling, event set-up, service and break-down.

-Knowledge and experience in supervising front of the house and culinary staff, food production, and kitchen execution.

-Advanced supervisor and communications skills to direct the work of others and interact successfully within a large diverse staff.

-Demonstrated ability to organize and manage high-end events.
  • Or an equivalent combination of education and experience.

Job Functions and Percentages of Time:

Program and Event Management - 40% -Daily

- Under the direction of the Assoc. Director, plans and implements catering services. This includes the Chancellor and Senior Officers, each of the departments on campus, and with/within Housing, Dining & Auxiliary Enterprises year-round.

- Coordinates and manages all aspects of the service contract for the events, to include but not limited to staffing, setup, supervision of the staff, and coordination of activities throughout the event.

- Monitors on a daily basis final guest guarantees and any special dietary or guest requests.

- Creates event timeline and task sheet for food transport, event set-up service staff, bar staff, event breakdown, and clean-up.

- Orders rental furniture, equipment, linen, flowers, china, etc. - Prepares pre-event check lists based on event needs which include all service equipment required for the events.

- Directs the work of sales managers to ensure events are thoroughly planned with all relevant details communicated.

- Provides gracious service to clients by anticipating their needs and taking the initiative to create service solutions accommodating their requests within the parameters of the client's budget and the department's capabilities. Develops vendor relationships to insure value and quality in the purchasing of equipment, food, beverages, and service products.

- Manages and oversees established standards for off-site food delivery and equipment as part of a comprehensive program to assure safe food handling and customer satisfaction.

Human Resource Management- 20% -Daily

- Responsible for the direct supervision of the Catering Sales Managers and Assistant Food Service Manager. Ensures each staff member fully understands their contribution and assigned responsibilities. Maintains strict guidelines for confidentiality with regard to all catering done for the Chancellor and staff.

- Anticipates labor staffing problems and develops contingency plan to ensure events are successfully carried out. Monitors workers' time and keeps labor in-line with the type of function being provided.

- Responsible for the training and management of the direct reports and student employees in customer service, safety and sanitation guidelines.

- Coordinates with Ortega Scheduling Manager in staffing large events utilizing Ortega student staff as needed.

On Site Event Management- 15% -Daily

- Coordinates and assists in set-up and breakdown of event sites including, service buffets, bars, dining tables, decor, flowers, lighting and off-site kitchen set up.

- Ensures highest quality of food presentation and food safety standards during the event.

- Directly supervises and monitors event managers and student service staff in all aspects of event; including set-up, guest service, event breakdown, truck loading and event clean-up at catering kitchen and storage unit.

- Directly oversees the service of alcoholic beverages at events ensuring all ABC regulations and state laws are adhered to by staff.

Budget - 10% -Daily

- Manages existing systems to trace and control costs and monitors weekly and monthly fiscal data to meet budgetary goals and projected income targets.

- Projects staffing models and food budget needs for events based upon analytical review of current costs and historical data.

- Reviews and analyzes needs, staffing models, income and costs to cover the catering and area per the annual budget.

Food Production and Computerization - 10% -Daily

- Oversees the food production on-site at catering events, including setting standards and holding staff accountable for quality, appearance and presentation.

- Coordinates the costing of all catering events and develops pricing models that cover labor, supplies and food costs. Maintains current knowledge of catering trends and event decor.

- Utilizes Event Master and the CBORD food management system for purchasing, menu development, inventory, food cost accounting and catering operations.

- Oversees production of desktop publishing for catering events.

- Utilizes a complex scheduling program for all student staff.

Purchasing and Inventory - 5% -Daily

- Under the direction of the Assoc. Director, monitors and enforces procedures established for purchasing, handling and controlling equipment, food and supplies inventory. Utilizes and monitors computerized systems to retrieve data for organizational and planning needs.

- Manages the fleet of catering vehicles, including two box-trucks and one passenger van.

- Coordinates the collection of supplies, delivery and return to their points of origin. Ensures security of all kitchen supplies and equipment, catering props and decor.

General:

- Demonstrates a personal awareness of and commitment to diversity and equal access in all activities related to staff and customers.
